An honest comparison

Document Expiration Spreadsheet vs. Reminder App

A spreadsheet is often enough for a short list you check regularly. A reminder app becomes useful when keeping dates current and remembering to review them starts taking more effort than the list itself.

What to track

  • Document names and confirmed dates
  • Who or what each record belongs to
  • Current, due soon, and expired status
  • A file attached to each record

When a spreadsheet is enough

If you have a short list and a reliable review routine, a spreadsheet is a reasonable choice. You can organize it your own way and keep it simple.

A spreadsheet does not send reminders by itself. Formulas can flag dates when you open it, and separate automation can be built, but that requires setup and maintenance. Individual calendar reminders are another option, though keeping them aligned with a growing document list takes work.

When a reminder app helps

DocuDue keeps document dates in one list with current, due soon, and expired status, and emails reminders before the dates you track. Use the owner field to distinguish records and attach a file to each one.

You can upload a PDF or photo for a suggested expiration date that you confirm, or enter the date manually. You still need to check the date and update it after renewal; the app does not renew documents for you.

Start with the simplest approach you will maintain

If a sheet suits your routine, use the free document expiration spreadsheet linked below. If remembering to check it is the problem, consider whether an email reminder would make the routine easier. Neither approach replaces checking the document or issuer's deadline.

A sensible reminder schedule

  1. 30 days before

Review the document and decide what renewal preparation is needed.

  2. 14 days before

Check progress instead of relying on remembering the date.

  3. 7 days before

Make a final review and update the date when renewal is complete.

A suggestion, not a rule. You choose the reminder date for each document.

Upload it and DocuDue suggests the date

Smart date extraction reads PDFs and photos and pre-fills the expiration date. You confirm it before anything is saved. See how it works.

Common questions

Do I need an app for a short list?

Not necessarily. A spreadsheet can be enough if you check it consistently and keep the dates updated.

Can a spreadsheet send reminders?

Not by itself. You can add separate automation or calendar reminders, but you must set them up and keep them synchronized yourself. DocuDue does not provide calendar sync.

Can I start with a free spreadsheet template?

Yes. Use the existing free document expiration spreadsheet linked below. You can decide later whether maintaining the list and reminders separately still suits you.
